The Problem
The Challenge
A B2B services company had 6 sales reps, each spending 2-3 hours crafting custom proposals for every qualified opportunity. They'd copy-paste from old proposals, manually update company names and pricing, and still end up with inconsistent formatting, outdated case studies, and occasional embarrassing errors (like sending a proposal with another client's name). The sales director estimated the team lost 60+ hours per month on proposals alone, and the inconsistency was costing them deals — prospects perceived the company as unpolished.
How We Fixed It
Our Solution
Audited 50 past proposals to identify the winning template structure: executive summary, problem statement, proposed solution, timeline, pricing, case studies, and team bios.
Built an n8n workflow triggered when a HubSpot deal moves to 'Proposal' stage, pulling all deal context: company details, identified pain points (from deal notes), products/services being proposed, and pricing tier.
Claude generates a complete, customized proposal following the company template: personalized executive summary, pain-point-specific solution description, relevant case studies selected from a library, and accurate pricing tables.
The generated proposal creates a Google Doc in a shared folder, formatted with the company's brand guidelines, headers, and footer — ready for the rep to review and tweak.
A Slack notification alerts the rep that their proposal draft is ready, with a direct link to the Google Doc and a summary of what was customized.
Once the rep approves (via a Slack button), the proposal auto-pushes to PandaDoc for professional formatting, e-signature fields, and tracking — then sends to the prospect with open/view tracking.
