The Problem
The Challenge
A 30-person Series A startup was having 15-20 internal meetings per week, but action items consistently fell through the cracks. Someone would say 'I'll handle that by Friday' and it would vanish into the ether. There were no meeting notes, no centralized task tracking, and no accountability loops. How We Fixed It
Our Solution
Deployed Fireflies.ai as the default meeting recorder across all Google Meet and Zoom calls, automatically joining scheduled meetings.
Built a post-meeting pipeline: once a transcript is ready, n8n pulls it and sends it to Claude API for structured extraction.
Claude identifies action items, assigns owners (matching names to the team directory), infers deadlines from context, and categorizes by project/team.
Each extracted action item is automatically created as a Linear issue with the correct assignee, due date, project tag, and a link back to the transcript timestamp.
A Slack summary is posted to the relevant channel within 5 minutes of meeting end — including key decisions, action items with owners, and open questions.
Built a weekly digest that flags overdue items and meetings with unresolved action items.
